Job Title:      Baggage and Cargo Coordinator:
Reports To: Baggage Manager/Cargo Manager
 
Job Description
The Coordinator is responsible for ensuring the efficient handling of all passenger baggage issues, including lost, delayed, and damaged baggage. The role focuses on assisting passengers, managing the baggage tracking process, and coordinating with various stations to ensure mishandled baggage is properly traced, delivered, and resolved. The Baggage Coordinator must maintain accurate records and communicate effectively with both passengers and station teams. The Coordinator is responsible for managing the cargo operation, including outbound and inbound in the Turks and Caicos Islands. This includes handling shipments.

Key Responsibilities:

  1. Coordinate the receipt and dispatch of shipments to the airline.
  2. Oversee the receipt of incoming shipments and handover to clients.
  3. Operate the interCaribbean IT Courier system for booking and reporting
  4. Monitor daily income and report to management.
  5. Support marketing with local experience to promote the courier service.
  6. Assist with other station tasks when courier operations are slow.
  7. Assist passengers with reporting damaged, lost, or delayed baggage.
  8. Take detailed reports of mishandling incidents and ensure proper documentation.
  9. Meet all arriving flights to assist passengers with baggage issues.
  10. Inform affected passengers about the status and progress of their delayed or mishandled baggage.
  11. Coordinate the receipt and dispatch of shipments to the airline.
  12. Oversee the receipt of incoming shipments and handover to clients.
  13. Operate the interCaribbean IT Courier system for booking and reporting.
  14. Monitor daily income and report to management.
  15. Support marketing with local experience to promote the courier service.
  16. Assist with other station tasks when courier operations are slow.

World Tracer File Management

  1. Create baggage mishandling files in World Tracer baggage tracking system
  2. Actively follow up with all stations to trace delayed baggage and arrange for the timely reunion of baggage with passengers.
  3. Ensure all World Tracer files are updated and closed in a timely manner once the issue is resolved.
  4. Create “on-hand” files in World Tracer for any unclaimed baggage at the station.

Baggage Carousel & Unclaimed Baggage

  1. Monitor flight arrivals and clear baggage carousels after flight arrivals.
  2. Account for and handle all unclaimed baggage left on the belt.
  3. Ensure unclaimed baggage is recorded and handled according to station procedures.

Reporting & Documentation

  1. Complete a detailed spreadsheet report for all bags on hand.
  2. Send completed reports to affected stations prior to flight arrival at destination station.
  3. Maintain accurate records of baggage mishandling events and resolutions.

RUSH Baggage and Forwarding

  1. Arrange the forwarding or RUSH of delayed baggage to destination.
  2. Inform affected stations in timely manner bag dispatch sent, ensuring smooth communication between teams.

Communication and Coordination

  1. Maintain clear and proactive communication with all stations involved in tracing and handling delayed baggage/Cargo.
  2. Coordinate with station teams to ensure mishandled baggage is quickly processed and passengers are updated.
  3. Work closely with interCaribbean Baggage Manager, and Ground Operations Team to resolve baggage issues and meet service standards.

Record-Keeping & Compliance

  1. Ensure that mishandling records are accurately maintained and updated.
  2. Track the status of each baggage claim case, from initial report to resolution, maintaining detailed documentation throughout the process.
  3. Adhere to company and station-specific procedures regarding baggage handling and reporting.

Skills & Qualifications:

  1. Strong organizational and multitasking abilities.
  2. Proficient in use of World Tracer Baggage tracking system.
  3. Excellent communication skills, both written and verbal.
  4. Ability to work efficiently under pressure, with attention to detail.
  5. Experience in customer service, especially in handling passenger complaints.
  6. Familiarity with airline operations, baggage handling procedures, and relevant policies.
